Day one, with access.
Last day, without copies.

New hires get their department's passwords the moment they join. When someone leaves, one click removes company data from all their devices, and the log shows which passwords to change.

01 / The challenge

Every hire and every exit
means a list of passwords to sort out.

New hires wait for access because everyone's busy. People who leave take passwords with them - in their heads, their browsers, and their phones. Few people know which accounts to secure afterward.

  • A first week without access.

A new employee asks for every password separately and gets access "whenever someone has a minute."

  • Passwords walk out the door.

Company logins stay in the personal browser and on the phone of someone who no longer works for you.

  • No idea what to change.

After someone leaves, you need to change the passwords to the accounts they used. But which ones?

02 / How Inlockly helps

Access that follows the role,
not the person.

Day one

Join a department - get its access.

Send an invitation and approve the new hire. Once they're in a department, they see its folders right away, with the permissions you set. Changing departments changes access in one step.

  • Invitations only work after an admin approves them.
  • Department permissions apply to all its members at once.
  • Forgot the master password? An admin can restore access to company data.

Company data stays with the company

Company passwords in the company vault, not a private one.

Employees move company logins from their private vault into company folders - the item is re-encrypted with the company key. Their private passwords stay theirs alone.

  • Every member has a private vault next to company data.
  • The company only sees what goes into its folders.
  • Permissions set for a person or a whole department.

The last day

Leaving without leftover copies.

Remove the person from the company, and their devices delete company data at the next sync. The log, filtered by person, shows which folders they had access to and what they changed.

  • Company data disappears from all of that person's devices.
  • Change history for every item, with author and date.
  • 180 days of company data history on the Business plan.

03 / A real-world scenario

Team changes
without the stress.

Sample scenario

Megan Walsh

Office and HR manager

Training company · Charlotte, NC

  • 35 people
  • 3–4 changes a month
  • 5 departments
The challenge

New trainers waited days for access to training platforms, and after a sales rep left, the company spent a week changing passwords "just in case."

Before

  • Access handed out separately by several people.
  • Company passwords in employees' personal browsers.
  • After someone leaves - guessing which passwords to change.
  • No record of who granted access to whom.

With Inlockly

  • New hires have their department's access from day one.
  • Company logins in company folders, personal ones in a private vault.
  • Removing someone from the company deletes company data from their devices.
  • A log filtered by person and a list of folders to review.

The person and company are fictional. The scenario shows a typical rollout and Inlockly features that are available today.

04 / Rollout

Set it up once, ready for every change.

  1. Map your departments.

Create departments and assign them folders with permissions. It's a one-time job.

  2. Gather company passwords.

Ask your team to move company logins from their private vaults and browsers into company folders.

  3. Build it into your process.

Hiring = an invitation and a department. Leaving = removal from the company, a log review, and changing the passwords for the flagged accounts.

05 / Good to know

Have questions?
Start here.

What exactly happens when I remove an employee from the company?

They lose access to company data, and their devices delete it at the next sync. Their private vault stays with them. It's worth changing the passwords they knew - the log shows which folders they had access to.

Will the company take over an employee's private passwords?

No. The private vault is encrypted with the employee's key, and the company has no access to it. Only what went into the company's folders stays with the company.

Can I give a new hire access without showing them the passwords?

Yes. Turn off password viewing and copying in the folder - the person signs in with autofill, but never sees the password.

Does Inlockly create accounts automatically from an HR system?

No. You invite people from the admin dashboard and organize access with departments. There's currently no integration with HR systems and no SCIM.
